President 

The President is an elected LPS officer who presides over all Club meetings and facilitates the services and activities of LPS. The President holds a voting position on the Board of Directors and should make every effort to attend all board meetings. 

Basic Duties: 

  1. Administer the business of the club
  2. Appoint non-elected officers or chairpersons to act in any capacity he/she sees fit
  3. Sign all contracts or obligations of LPS as authorized by the Board or may appoint a Board member to do so
  4. Give regular reports to the membership
  5. Act as the primary spokesperson for LPS
  6. Act as ex-officio member of all committees 
  7. Provide coordination with other organizations

 

Vice President 

The Vice President is an elected LPS officer who assumes the duties of the President when he/she is unavailable or vacates the office. He/she shall assist committee members as needed. The Vice President holds a voting position on the Board of Directors and should make every effort to attend all board meetings. 

 

Treasurer/Membership Chair

The Treasurer is an elected LPS officer responsible for managing LPS’s bank accounts, deposits, and disbursements. As Membership Chair, the Treasurer will also maintain the membership roster. The Treasurer holds a voting position on the Board of Directors and should make every effort to attend all board meetings. 

 

Basic Duties: 

  1. Act as the primary accountant for LPS
  2. Collect dues for new members and for membership renewal when due 
  3. Send automated notifications to members before and after membership expiration
  4. Provide the Newsletter Editor, Competition Chair, and Webmaster with names of new members each month 
  5. Facilitate the printing of name tags for all new members
  6. Submit monthly reports to the Board on the financial condition of the club 
  7. Maintain a means of collecting monies for special events (i.e. PayPal) 
  8. File an annual report with the IRS and State of Colorado to maintain the club’s nonprofit status 
  9. Renew LPS Trade Name with Colorado Secrtary of State every 3 years
  10. Perform a year-end audit in conjunction with one other member of the Board or an audit in the event of a mid-year transition of office
  11. Provide the successor of the office with all the financial records of the club 

 

Secretary 

The Secretary is an elected LPS officer whose primary role is to be the recordkeeper for the Club. The Secretary holds a voting position on the Board of Directors and should make every effort to attend all board meetings. 

Basic Duties:  

  1. Prepare and distribute the agenda in advance of board meetings
  2. Keep minutes of the board meetings and send them to the Board for any corrections/additions prior to the next meeting
  3. Compile records that are presented to the Board
  4. Correspond with outside organizations when necessary
  5. The Secretary will assume the duties of the Treasurer whenever the Treasurer is unavailable

 

Competition Chair 

The Competition Chair is a volunteer board member responsible for coordinating and overseeing the club's competitions. The Competition Chair holds a voting position on the Board of Directors. 

 

Basic Duties:  

  1. Select categories for the club competitions
  2. Determine qualifications for competition judges, with input from the Board 
  3. Send members friendly email reminders of upcoming image competition deadlines
  4. Schedule competition judges for each club competition
  5. Set competition levels, in conjunction with the Board of Directors
  6. Facilitate training of potential new judges
  7. Be familiar with use of the Visual Pursuits software
  8. Work with the judges to maintain compliance with competition rules and send notices of disqualification as needed
  9. Prepare and run the competition results slideshow at the club meeting
  10. Manage competition results and communication of group numbers 
    1. Tabulate competition results each month and assign members to groups based on each month's results
    2. Notify newsletter editor of members' competition group numbers
    3. Notify members of group number changes each month

 

Field Trip Chair 

The Field Trip Chair is a volunteer board member responsible for searching out suitable sites and topics for field trips, giving club members a chance to photograph a variety of subjects. The Field Trip Chair holds a voting position on the Board of Directors.

Basic Duties:  

  1. Create a list of possible field trips
  2. Recruit field trip leaders to organize and host field trips, based on their knowledge and interest
  3. Contact the Webmaster, Newsletter Editor, and Publicity Chair to post scheduled field trips on the calendar on the LPS website, in the InFocus newsletter, and on the Members of Loveland Photographic Society Facebook page 
  4. Obtain or have field trip hosts obtain permission to photograph at a given venue or location where permission might be required and gather participant signatures on liability releases as needed 
  5. Provide directions to field trip participants that include meeting time and place, maps, and any cost that might be incurred

 

Forum Director 

The Forum Director is a volunteer board member responsible for overseeing the Forum and ensuring content is appropriate. The Forum Director may also initiate discussion topics on the Forum. The Forum Director holds a voting position on the Board of Directors.

 

Greeting Host 

The Greeting Host is a volunteer board member responsible for welcoming members and guests upon their arrival at monthly meetings. The Greeting Host holds a voting position on the Board of Directors. 

Basic Duties:  

  1. Make a sign-in sheet, name tags, and pens available at the door of the club meeting 
  2. Help guests fill out a visitor sign-in and answer their questions about LPS 
  3. Set out club brochures for visitor information

 

Mentor Chair 

The Mentor Chair serves as a volunteer board member who leverages their specialized skills and extensive experience to offer individualized assistance to club members upon request. The Mentor Chair holds a voting position on the Board of Directors. 

Basic Duties:  

  1. Share critiques and photography techniques, utilizing the Third Monday Review sessions
  2. Recruit other members with advanced photography skills who are willing to mentor 

 

Newsletter Editor 

The Newsletter Editor is a volunteer board member responsible for publishing a monthly letter with Club news and articles of interest. The Newsletter Editor holds a voting position on the Board of Directors. 

Basic Duties:  

  1. Be familiar with and capable of utilizing publishing software such as Publisher to create multipage documents
  2. Write or collect articles for the monthly newsletter
  3. Maintain communication with the Program Committee to include information about the meeting presenter/presentation
  4. Send a summary of the monthly presentation to the Publicity Chair for inclusion in the Reporter Herald Club Notes 
  5. Publish the newsletter in a timely manner and make the downloadable PDF available to the LPS members via the email list and on the LPS website 
  6. Send email notices of special events and announcements that are not included in the newsletter 

 

Program Chair/Committee 

The Program Chair is a volunteer board member responsible for providing quality presentations for the monthly meetings. The Program Chair may recruit committee members to collaborate on the Program duties. The Program Chair and members of the Program Committee, if any, hold a voting position on the Board of Directors.

Basic Duties:  

  1. Find effective presenters, utilizing recommendations from club members or other clubs, online blogs and podcasts, or photographer websites
  2. Contact prospective speakers and discuss pertinent information about the allotted time, gratuity, and method of presentation, either in person or via Zoom 
  3. Schedule a presentation for each monthly meeting, utilizing either a speaker or an alternative activity
  4. Provide the Newsletter Editor with information about the presentation, including any photographs/head shots to be included in the newsletter
  5. Introduce the speaker at the meeting
  6. Notify the speaker near the end of the allotted time

 

Projectionist 

The Projectionist is a volunteer board member tasked with operating digital image projection for monthly competitions and other LPS activities as needed. The Projectionist holds a voting position on the Board of Directors

Basic Duties:  

  1. Store club projector, laptop, sign and microphone system. Transport to and from club meetings
  2. Be familiar with use of the projectors in conjunction with club laptop, Visual Pursuits ICM and Zoom meeting software
  3. Set up equipment when needed to project digital images at LPS activities (typically club meetings)  
  4. Start Zoom meeting and verify that remote presenters can share audio and video successfully at club meetings 
  5. Sync Visual Pursuits image database in ICM, select competition images and have them ready for showing via ICM 
  6. Troubleshoot and correct any problems that may occur 

 

PSA Representative 

The PSA Representative is a volunteer board member whose role is to encourage club members to take part in designated PSA competitions and keep them informed about PSA events and activities. The PSA Rep holds a voting position on the Board of Directors.

Basic Duties:  

  1. Act as the spokesperson for PSA, relaying ongoing events, activities, and opportunities 
  2. Present awards to participating club member winners 
  3. Coordinate PSA programs with LPS 

 

Publicity Chair 

The Publicity Chair is a volunteer board member responsible for managing the club's presence in local news and social media. The Publicity Chairperson holds a voting position on the Board of Directors. 

Basic Duties:  

  1. Maintain social media accounts such as Facebook and Instagram
  2. Obtain information related to club activities and incorporate this information into news items in the local news media and social media
  3. Write summary re: upcoming LPS meeting presentation and send it to the Reporter Herald for inclusion in the Club Notes column
  4. Facilitate the design and creation of flyers and posters as requested by the Board

 

Website Administrator/Webmaster

The Webmaster is the volunteer board member responsible for maintaining and updating the LPS website as needed. The Webmaster should have a demonstrated ability to administer websites and domain names. The Webmaster holds a voting position on the Board of Directors.  

Basic Duties:  

  1. Manage the relationship with the website host 
  2. Maintain the LPS domain
  3. Manage the LPS website, involving approximately 2-6 hours per month
  4. Post updated rules, job descriptions, and other information as directed by the Board of Director. 
  5. Update and maintain the LPS Webmaster crib sheet and pass it to the next Website Administrator. 
  6. Schedule competitions in Visual Pursuits software, ensuring correct dates and open and close times for submitting images (usually done at the turn of the calendar year for one year out) 
  7. Schedule Zoom meetings for the monthly club meeting and Third Monday review meeting (usually done at the turn of the calendar year for one year out) 
  8. Upload and post club newsletter each month, updating relevant pages of the website
  9. Set up guest accounts as needed for guest judges and other club needs
  10. Update the “monthly competitions” page as needed (usually at the turn of the year for one year out)
  1. Assist in making club payments to domain service provider and club software provider (Visual Pursuits) 
  1. Troubleshoot and assist others with club website issues, roles, etc.
  2. Update and maintain email forwarding list through our domain provider (Hover) This is usually done after the election of new officers at the end of the year.

Youth Showcase Chair

The Youth Showcase Chair is a volunteer board member responsible for encouraging young photographers in the art and skill of photography via the LPS and PSA Youth Showcases. This role involves a time commitment by the Chair of approximately 7 months, from November through the following May. The Youth Showcase Chairperson holds a voting position on the Board of Directors. 

Basic Duties: 

Recruit Club members to join the Youth Showcase Committee to achieve the following:

  1. Contact art and photography teachers at Front Range area high schools to solicit entries in the LPS Youth Showcase 
  2. Produce and distribute student applications for entry
  3. Collect submitted photographs, both digital and print, and organize the in-person judging procedure
  4. Receive PSA awards and distribute them to student winners
  1. Enlist a panel of judges to adjudicate the entries and determine winners in each competition category, plus the Best Senior award
  2. Enter award-winning LPS Youth Showcase winners into the PSA Youth Showcase
